Intranet Portal built on SharePoint online – Office 365 for PACE Center for Girls
PACE Center for Girls was founded in 1985 with one center at Jacksonville, Florida and currently has 19 centers across the state. PACE provides girls and young women an opportunity for a better future through education, counseling, training and advocacy. PACE serves over 2,000 girls each year and has transformed the life trajectory of over 37,000 girls since its inception.
PACE recognized that their operational needs could not be completely fulfilled by their existing system and they required an Intranet Portal for better collaboration and content management needs of their internal departments.
The following objectives were to be achieved:
- Intranet portal hosted on a cloud platform
- Custom branding with a consistent look and feel across the sites
- Different departmental sites – Training, HR, IT, Finance, External Affairs, etc
- Landing page with CEO Announcements, Event Calendar, important links, Weather, and
other announcements.
- Document management capabilities for all departments
Based on their requirements and objectives, our consulting team’s recommendation of SharePoint online (Office 365 platform) was accepted for their Intranet implementation.
According to their design guidelines a master page had been designed and implemented. The landing page had CEO announcements, Board’s Vision Statement, Quick links, picture gallery and a weather widget.
For collaboration, OOTB Yammer groups were configured in the webparts on Home page of each department.
Based on their HR Department’s requirements, various forms were developed to accommodate employee requests. These included forms regarding Employee on boarding, Personal information change, Credit limit Change, etc. These were OOTB forms, customized using JavaScript to meet their specific requirement of data toggle (Hide/Show).
For the Finance department, a term store was configured to have the location centers tagged for document management of Financial Reports. Whenever a finance report was uploaded at the centralized repository with the location tagged, a copy of that file would be created in their HQ document library.
There were OOTB approval workflows configured for various forms. These forms include Fleet Management (Vehicle Management), Building Maintenance (Center Service Request details), Contract Request, Invoice Approval (for the employees), Credit Limit Change Form, etc. to name a few, with the capability to upload images as per their requirement.
For IT department, an Issue Equipment form was developed in InfoPath for them to fill out the equipment details for physical asset management and audit purpose.
